About This Position

ChordexBio is seeking a highly organized and systems-minded Programs and Operations Coordinator to serve as the operational backbone of our growing life sciences and biotechnology ecosystem. This is a remote-first role built for someone who thrives at the intersection of structure and innovation — a professional who understands that great science and great products only move forward when the people, tools, and processes behind them are running in sync.

In this role, you will act as the lead coordinator across all major ChordexBio programs and operational units, ensuring that internal communications, workflows, systems, and cross-functional processes are aligned, documented, and functioning seamlessly. You will work closely with ChordexBio's leadership, platform teams, affiliates, consultants, and business development officers to keep operations coherent and responsive as the organization scales. This role is ideal for candidates who are equally comfortable building operational systems from scratch and maintaining them with precision. Our ideal coordinator is someone who has operated in a research, biotech, startup, or innovation environment — a professional who understands the unique operational rhythms of science-driven organizations and can bring clarity to complexity without slowing momentum.

Responsibilities

1. Serve as the central point of coordination for all ChordexBio programs, ensuring that each operational unit — across platforms, affiliates, consultants, and business development — is aligned, informed, and progressing toward defined goals.
2. Establish, document, and continuously improve internal processes, standard operating procedures (SOPs), and communication workflows across the ChordexBio ecosystem.
3. Oversee and manage internal communications — ensuring that updates, directives, and critical information flow effectively between teams, contractors, and leadership.
4. Maintain and administer operational tools and systems including project management platforms, shared workspaces, documentation repositories, and coordination channels.
5. Track the status of ongoing programs, deliverables, and milestones; flag blockers, delays, or misalignments and coordinate resolution with the relevant parties.
6. Support onboarding of new affiliates, freelancers, and consultants by ensuring they have access to the right resources, orientation materials, and operational context.
7. Prepare periodic internal reports, operational summaries, and status updates for ChordexBio leadership.
8. Coordinate scheduling, virtual meetings, and cross-team check-ins across multiple time zones and regions.
9. Assist in the planning and execution of internal initiatives, product rollouts, or operational campaigns that require multi-team coordination.
10. Identify inefficiencies or gaps in current workflows and proactively propose and implement improvements.

Requirements

REQUIREMENTS:

1. Demonstrated experience in operations coordination, program management, project management, or a closely related administrative or organizational role — minimum 1–2 years preferred.
2. Strong command of project management and collaboration tools such as Notion, Asana, Trello, ClickUp, Google Workspace, Slack, or equivalent platforms.
3. Exceptional written and verbal communication skills in English, with the ability to produce clear documentation, SOPs, and internal correspondence.
4. High attention to detail, strong organizational instincts, and the ability to manage multiple workstreams simultaneously without dropping the ball.
5. Comfortable working in a remote, asynchronous, fast-moving environment with a distributed team across multiple time zones.
6. Self-directed and accountable — capable of operating with minimal supervision while staying aligned with leadership priorities.
7. A Bachelor's degree in any field is preferred; background in STEM, business, communications, or organizational management is an advantage but not required.

QUALIFICATIONS:
1. An operations coordinator, executive/virtual assistant, or program manager in a startup, biotech, research institution, or innovation-driven organization
2. A project coordinator or research administrator in an academic, laboratory, or clinical research environment
3. A virtual operations manager or remote team coordinator with experience supporting distributed, multi-functional teams
4. A STEM professional transitioning into operations or management who wants to apply scientific rigor to organizational systems
5. A process improvement specialist, systems thinker, or operations generalist with a passion for building functional, scalable workflows in science or tech contexts
